Job Description

As a Senior Document Controller, your role is instrumental in maintaining the integrity and accessibility of important project documentation. You will oversee all document management activities, ensuring that both physical and digital records are accurately processed, indexed, filed, and retrieved as needed. This position requires an individual who is detail-oriented, organized, and adept at managing large volumes of information. With your experience and skills, you will lead document control processes, train team members, ensure compliance with industry standards, and support project teams by facilitating smooth information flow. Responsibilities

  • Ensure all project documentation is correctly processed, maintained, and archived.
  • Establish and enforce document management protocols and procedures consistently.
  • Manage and oversee document storage, both physical and digital formats.
  • Coordinate with various departments to track and retrieve documents as required.
  • Verify and approve revisions of documents according to company guidelines.
  • Train and supervise junior document control staff on best practices.
  • Implement document control processes for compliance with industry standards.
  • Develop and manage a centralized electronic document management system.
  • Conduct regular audits to ensure documentation accuracy and completeness.
  • Facilitate smooth information sharing between project teams through efficient documentation.
  • Ensure data security and confidentiality in all document handling processes.
  • Assist in preparing documentation required for permits, licenses, and other regulatory submissions.

Requirements

  • Bachelor’s degree in business administration, information management, or a related field.
  • Proven experience in document control or records management for at least five years.
  • Proficiency in document management software and advanced Microsoft Office skills.
  • Strong organizational skills with a high level of attention to detail.
  • Excellent communication and interpersonal skills for effective team collaboration.
  • A keen understanding of regulatory compliance and document management practices.
  • Ability to work independently and manage multiple tasks concurrently.
