Job Description

As a Receptionist / Customer Service professional, you will be the first point of contact for our company, providing a warm greeting to our visitors and clients. Your role is vital as you represent the company's image, ensuring a welcoming environment for all. In addition to managing front desk operations, you will manage incoming calls, emails, and inquiries efficiently and professionally. You'll need to balance administrative duties with creating a positive experience for customers, both in person and over the phone. Your communication and organizational skills will be paramount in delivering outstanding service and support to assist in the smooth operation of our front office.


Responsibilities

  • Welcome and direct visitors, clients, and staff with a positive attitude.
  • Answer and manage incoming calls promptly and professionally.
  • Maintain the reception area tidy and organized at all times.
  • Coordinate and assist in scheduling appointments and meetings as required.
  • Handle and distribute mail, packages, and deliveries efficiently.
  • Respond to customer inquiries with accurate information and guidance.
  • Collaborate with team members to improve customer service outcomes.
  • Maintain confidentiality of all corporate, personnel and research matters.
  • Assist in administrative tasks such as data entry and filing when needed.
  • Ensure security protocols are followed for guest and visitor management.
  • Manage and update company directories and contact lists regularly.
  • Prepare and provide reports relating to front office activities.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Professional attitude and appearance with exceptional customer service skills.
  • Strong verbal and written communication skills with attention to detail.
  • Excellent organizational abilities with a strong multitasking capability.
  • Ability to manage and resolve conflicts or challenging situations calmly.
  • High school diploma; additional certification in Office Management is a plus.
