Job Description

As a Receptionist, you will serve as the first point of contact for our organization, welcoming visitors with warmth and professionalism. Your role will be crucial in ensuring that our front office operations run smoothly and efficiently, supporting the entire team with administrative tasks. You will greet visitors, manage phone calls, handle mail, and support various departments with clerical duties. Strong organizational skills, attention to detail, and a friendly demeanor are essential to succeed in this role. In addition to these duties, you will play a key part in maintaining a positive atmosphere in the workplace by embodying the values and standards of our company at all times.


Responsibilities

  • Greet and assist visitors with professionalism and a friendly demeanor.
  • Manage incoming and outgoing mail, packages, and deliveries efficiently.
  • Answer, screen, and forward incoming phone calls to the appropriate parties.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Provide basic and accurate information in-person and via phone/email.
  • Keep the reception area tidy and presentable, with all necessary stationery and material.
  • Coordinate front-desk activities, including scheduling and assisting with room reservations.
  • Perform clerical duties such as filing, photocopying, and organizing documents.
  • Assist colleagues with administrative tasks as required to ensure smooth operations.
  • Update appointments and calendars and schedule meetings as needed.
  • Monitor office supplies and place orders when necessary, managing inventory efficiently.
  • Collaborate with other departments to ensure an optimal flow of information and resources.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and other office management equipment.
  • Hands-on experience with office equipment, such as printers and fax machines.
  • Professional attitude and appearance with strong interpersonal and communication skills.
  • Ability to be resourceful and proactive when issues arise in the workplace.
  • Excellent organizational skills with a focus on time-management and multitasking.
  • High school diploma; additional certification in Office Management is a plus.
