The role of a Front Office Manager cum Executive Assistant is a diverse and dynamic position that blends front desk management with high-level executive support. As the first point of contact for clients and visitors, the individual in this position bears the responsibility of managing the front office while simultaneously providing administrative support to senior executives. This dual role requires a candidate who possesses exceptional organizational skills, a professional demeanor, and the ability to multitask effectively. The successful candidate will ensure a seamless experience for visitors and executives alike, handling everything from employee coordination and office supplies management to scheduling and correspondence for the executive office. Excellent communication skills, confidentiality, and efficiency are crucial for thriving in this position.


Responsibilities

  • Oversee the front office operations, ensuring a professional environment.
  • Greet and assist visitors, ensuring they receive a warm welcome.
  • Coordinate schedules and meetings for senior executives and management team.
  • Handle phone and email inquiries with efficiency and professionalism.
  • Maintain a tidy and organized front desk and reception area at all times.
  • Manage office supplies inventory and place orders as needed promptly.
  • Prepare and distribute communication, including memos and reports, to staff and stakeholders.
  • Assist executives with preparation of presentations and meeting agendas.
  • Coordinate logistics for executive travel and accommodation arrangements.
  • Serve as the liaison between staff and executives, ensuring smooth communication.
  • Develop and implement office procedures to improve efficiency and productivity.
  • Assist in organizing company events and meetings, ensuring all details are managed.

Requirements

  • Proven experience in a front office management or executive assistant role.
  • Exceptional organizational and multitasking skills are a must-have for success.
  • Excellent written and verbal communication skills are crucial for this role.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong proficiency in Microsoft Office Suite and office management software.
  • High school diploma or equivalent; Bachelor's degree preferred but not essential.
  • Customer service-oriented with a friendly and professional demeanor.
