Job Description

The Assistant Facilities Manager plays a critical role in ensuring the efficient operation and maintenance of a company's physical environment. This professional oversees daily building operations, ensures all facilities are maintained to the highest standards, and addresses the needs of employees and guests within the facility. Working closely with the Facilities Manager, they coordinate the logistical and operational tasks required to maintain a safe, functional, and welcoming space. This role involves a mix of administrative tasks, supervisory duties, and hands-on problem-solving. It's ideal for someone who has a blend of leadership skills, technical knowledge, and an eye for operational efficiency. The Assistant Facilities Manager is essential in ensuring that all building services operate smoothly, addressing both scheduled maintenance and unexpected issues promptly.


Responsibilities

  • Assist in the coordination and oversight of daily building operations and maintenance.
  • Supervise technicians, janitorial staff, and any third-party service providers.
  • Implement and oversee routine maintenance schedules to ensure optimal facility performance.
  • Conduct regular inspections of the property's physical state and address any issues found.
  • Manage and monitor budgets assigned for facilities operations and improvements.
  • Ensure compliance with health, safety, and environmental regulations and standards.
  • Coordinate and oversee projects related to renovation, construction, or facility upgrades.
  • Respond promptly to urgent maintenance calls and oversee resolution efforts.
  • Maintain inventory of maintenance supplies and equipment needed for facility operations.
  • Collaborate with other departments to ensure their facility-related needs are met efficiently.
  • Prepare and present regular reports on facility operations and maintenance activities.
  • Facilitate communication between the organization, vendors, and external service providers.

Requirements

  • Bachelor’s degree in facilities management, engineering, business or related field.
  • Minimum of 3 years of experience in facilities management or similar role.
  • Strong understanding of building maintenance procedures and protocols.
  • Proven experience managing teams and external service providers effectively.
  • Excellent problem-solving skills and the ability to work under pressure.
  • Proficient with facilities management software applications and tools.
  • Exceptional communication and interpersonal skills for a collaborative environment.
