Responsibilities

  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Assist in managing schedules, meetings, and appointments for staff across various departments.
  • Prepare and edit correspondence, reports, memos, and emails in a timely manner.
  • Maintain organized filing systems, both physical and electronic, ensuring easy retrieval of documents.
  • Support office management by maintaining supply inventory and placing orders for office supplies.
  • Serve as the first point of contact for visitors and handle incoming phone calls professionally.
  • Handle sensitive information in a confidential manner and archive documents accordingly.
  • Manage and update company databases with accurate and timely entry of information.
  • Arrange travel accommodations and schedule for team members, as required for business needs.
  • Develop and maintain positive working relationships with clients and vendors.
  • Assist in organizing company events and handling logistics for team gatherings.
  • Provide general support to visitors and handle other ad hoc administrative duties as assigned.

Requirements

  • Proven experience as an administrative assistant or relevant administrative role is essential.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills with strong interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other office software systems.
  • Detail-oriented with the ability to maintain high levels of accuracy in all work.
  • Capable of handling sensitive information discreetly and maintaining confidentiality at all times.
  • High school diploma required, associate's degree or administrative qualifications preferred.
