Job Description

The Front Desk Executive plays a critical role in the hospitality and administrative sector by serving as the first point of contact for the business. This position requires excellent communication skills, a professional demeanor, and the ability to handle multiple tasks efficiently. As the face and voice of the organization, the Front Desk Executive is responsible for greeting clients and guests, providing necessary information, managing phone lines, and ensuring that every visitor has a positive experience. Attention to detail, proficiency in managing administrative tasks, and the ability to remain calm under pressure are essential traits for success in this role. The ideal candidate will be proactive, with a strong ability to interact with clients and maintain the organization’s image and reputation.


Responsibilities

  • Welcome and assist visitors with a warm and courteous attitude.
  • Manage and direct incoming phone calls effectively and professionally.
  • Handle and distribute incoming mail and manage outgoing correspondence.
  • Maintain a clean, organized, and tidy reception area at all times.
  • Coordinate with the administrative team to ensure smooth office operations.
  • Provide accurate information about the organization’s services and facilities.
  • Arrange appointments and meetings, and manage meeting room bookings.
  • Maintain office security by following safety procedures and controlling access.
  • Assist in administrative tasks such as data entry and filing as needed.
  • Monitor and maintain stationery and office supply inventory for the front desk.
  • Document and communicate visitor feedback or complaints to management.
  • Support various departments with additional tasks and projects as required.

Requirements

  • High school diploma or equivalent; additional qualifications preferred.
  • Proven experience in a similar customer-facing or administrative role.
  • Exceptional verbal and written communication skills in English.
  • Strong organizational skills with the ability to multitask efficiently.
  • Proficiency with standard office software, including MS Office Suite.
  • Professional appearance and demeanor with a customer-focused attitude.
  • Ability to remain calm and composed during high-pressure situations.
