Job Description

The Service Admin Coordinator is an integral role within our organization's customer support team, responsible for ensuring efficient and seamless operations of service requests and resolutions. This position serves as a pivotal liaison between customers, service technicians, and other internal departments. The coordinator is tasked with managing service schedules, processing customer inquiries, documenting service issues, and facilitating timely service deliveries. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and a keen attention to detail. The Service Admin Coordinator plays a crucial role in maintaining high levels of customer satisfaction by coordinating prompt and effective service solutions, contributing to the overall success and reputation of the company.


Responsibilities

  • Coordinate and schedule service appointments and manage service calendar efficiently.
  • Communicate promptly and effectively with customers regarding their service needs.
  • Process incoming service requests and documentation accurately and in a timely manner.
  • Liaise with service technicians to ensure clear understanding of service requirements.
  • Track and document all service requests, actions taken, and customer feedback.
  • Facilitate the resolution of customer complaints and escalate complex issues as needed.
  • Prepare and distribute service reports for management review and decision-making.
  • Maintain service records and ensure compliance with company policies and procedures.
  • Assist in inventory management and ordering of necessary service materials and tools.
  • Implement process improvements to enhance service delivery and customer satisfaction.
  • Collaborate with other departments to facilitate comprehensive service solutions.
  • Provide administrative support to the service team, including data entry and file management.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 2 years of experience in a similar administrative coordination role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills to interact effectively with clients.
  • Proficiency in using customer service software and Microsoft Office Suite.
  • Ability to solve problems and make decisions under pressure efficiently.
  • Flexible and adaptable to work in a fast-paced and dynamic environment.
