Job Description

As a Front Desk Receptionist, you will be the first point of contact for our organization, representing the heart and soul of our hospitality and customer service. Engaging with visitors and clients, you will manage front-desk activities, including greeting customers, managing calls, and maintaining administrative tasks. You will play a crucial role in setting the tone for initial interactions and upholding an organized flow of information between different departments, ensuring a welcoming environment for both staff and visitors. If you excel in multitasking, possess excellent communication skills, and thrive in a dynamic environment, this role is designed for you.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office within the building.
  • Answer, screen, and forward incoming phone calls promptly and efficiently.
  • Ensure the reception area is tidy and presentable, with all necessary stationery.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail/deliveries to appropriate recipients.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Order front office supplies and keep inventory of stock as necessary.
  • Update appointment calendars and schedule meetings to accommodate staff availability.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist with coordinating office events, meetings, and training sessions regularly.
  • Collaborate with other departments to facilitate smooth and effective office operations.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Professional attitude and appearance, with excellent interpersonal skills.
  • Strong written and verbal communication abilities are essential for this role.
  • Ability to be resourceful and proactive when issues arise at the front desk.
  • Excellent organizational skills with the ability to multitask effectively.
  • High school diploma; additional certification in Office Management is a plus.
