Job Description

We are seeking a meticulous and highly organized Personal Assistant to join our dynamic team. As a Personal Assistant, you will play a vital role in ensuring the smooth operation of daily activities, principally serving a senior executive or management team. You will be responsible for managing schedules, coordinating meetings, handling correspondence, and ensuring that tasks are prioritized effectively. The ideal candidate is highly resourceful, adept at multitasking, and possesses excellent communication skills. Working in a fast-paced environment, you will need to be proactive, adaptable, and unwavering in your attention to detail to support the organization's core operations.


Responsibilities

  • Manage and maintain daily schedules, appointments, and travel arrangements efficiently.
  • Coordinate and schedule meetings, preparing agendas, and meeting documents.
  • Handle email correspondence and respond to inquiries professionally and promptly.
  • Ensure confidentiality and security of sensitive information at all times.
  • Assist with the preparation of reports, presentations, and correspondence.
  • Conduct research and compile information for special projects and presentations.
  • Greet visitors and manage incoming phone calls in a professional manner.
  • Track and manage expenses, ensuring timely reconciliation and reporting.
  • Organize and maintain physical and electronic filing systems efficiently.
  • Collaborate with other team members to ensure company operations run smoothly.
  • Assist with personal errands and tasks as required by the executive.
  • Continuously improve processes to enhance operational efficiency.

Requirements

  • Bachelor's degree or equivalent experience in a relevant field is preferred.
  • Proven experience as a Personal Assistant or in a similar support role.
  • Exceptional organizational and time-management skills are essential for success.
  • Proficient in Microsoft Office Suite and comfortable using various office technologies.
  • Outstanding verbal and written communication skills are required.
  • Ability to handle sensitive information with the utmost discretion and confidentiality.
  • Excellent problem-solving skills and the ability to anticipate needs proactively.
