Job Description

We are seeking a highly organized and friendly Receptionist to join our team. As the first point of contact for our company, you will play a pivotal role in creating a positive first impression. The ideal candidate is someone who thrives in a fast-paced environment where multitasking and exceptional communication skills are essential. You will be responsible for managing the front desk, greeting guests, answering inquiries, and providing administrative support across the organization. Your professional demeanor, attention to detail, and ability to handle confidential information with discretion will ensure the smooth operation of our reception area.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location efficiently.
  • Answer, screen, and forward incoming phone calls to relevant departments.
  • Provide basic and accurate information in person, via phone, and email.
  • Ensure the reception area is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures and controlling access.
  • Order and manage office supplies inventory to ensure accurate stock levels.
  • Arrange appointments and manage meeting room bookings as necessary.
  • Stay updated on organizational changes, policies, and personnel information.
  • Assist with a variety of administrative tasks, including preparing reports.
  • Support the organization with other tasks and projects as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment such as printers and scanners.
  • Professional attitude and appearance with strong interpersonal skills.
  • Excellent written and verbal communication abilities are essential.
  • Ability to be resourceful and proactive when issues arise.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Strong organizational skills with attention to detail and confidentiality.
