Job Description

A Document Controller plays a crucial role in managing and maintaining the company's documentation processes, ensuring accuracy and ease of access for authorized personnel. This position is central to efficient communication and the seamless functioning of operations within an organization. The Document Controller is responsible for setting up, maintaining, and updating document management systems that follow organizational policies and industry standards. They work closely with project teams, quality management, and other stakeholders to ensure that all documentation is up to date, accurate, and securely stored. These professionals must have strong attention to detail, organizational skills, and the ability to work under pressure to meet deadlines as they are often required to manage multiple streams of documentation at once.


Responsibilities

  • Develop and maintain document control processes for efficient management.
  • Ensure incoming and outgoing documentation is correctly categorized and managed.
  • Organize and maintain files according to company's document processing procedures.
  • Coordinate with various departments to secure necessary document approvals and signatures.
  • Monitor document compliance requirements and address any discrepancies swiftly.
  • Facilitate the retrieval of documents needed by project teams and management.
  • Regularly audit the document control system for improved efficiency and accuracy.
  • Provide training and assistance to staff regarding document management systems.
  • Ensure all records are backed up and stored securely as per the company's protocols.
  • Plan and oversee the archiving of records compliant with legal and regulatory standards.
  • Implement precise version and revision control for project documentation.
  • Support project teams with documentation logistics throughout project lifecycles.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related fields.
  • Proven experience in document control or management in a corporate setting.
  • Proficiency in document management software and MS Office applications.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Excellent communication skills to liaise effectively with team members and management.
  • Ability to manage multiple documentation projects concurrently, under tight deadlines.
  • Knowledge of industry-specific document control requirements and standards.
