Job Description

The Front Office Associate is the face of our organization, acting as the first point of contact for clients, visitors, and guests. This role is pivotal in maintaining a professional atmosphere and ensures all interactions align with the company's customer service standards. The Front Office Associate handles daily administrative tasks, manages phone calls, coordinates with other departments, and assists in maintaining a smooth and efficient front office operation. Their ability to manage various tasks simultaneously, a keen eye for detail, and exceptional communication skills contribute significantly to the overall impression of the company. An ideal candidate is friendly, organized, and able to work in a fast-paced environment.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Receive and sort daily mail and deliveries to maintain organization.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings to support office operations.
  • Provide basic and accurate information in-person and via phone or email.
  • Keep detailed records of visitor inquiries and interactions with staff.
  • Coordinate and provide support for office activities and events as needed.
  • Organize and maintain the front desk environment for a positive office image.
  • Assist with clerical duties such as data entry, filing, and paperwork processing.
  • Manage and restock office supplies ensuring items remain available at all times.
  • Liaise with colleagues to facilitate communication and resource sharing effectively.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Front Office Representative or similar role.
  • Proficient with Microsoft Office Suite, including Word and Excel.
  • Solid communication skills both written and verbal are essential.
  • Excellent organizational skills with the ability to multitask efficiently.
  • Strong sense of professionalism and ability to maintain confidentiality.
  • Familiarity with office equipment such as printers and fax machines is preferred.
