Job Description

The Junior Admin Executive plays a pivotal role in ensuring the smooth operation of an organization by supporting senior administrative staff and assisting in various clerical and organizational tasks. This position requires a proactive, organized, and detail-oriented individual with excellent communication skills to handle a variety of administrative responsibilities. The Junior Admin Executive will be responsible for maintaining records, coordinating meetings, managing office supplies, and supporting internal and external communications. This role is ideal for someone eager to learn and grow within the administrative field, as it offers ample opportunities to develop skills and gain valuable experience in a dynamic work environment. The Junior Admin Executive is expected to work collaboratively with team members at all levels and contribute positively to the organization’s efficiency and productivity.


Responsibilities

  • Maintain organized and accurate records of all administrative activities and documentation.
  • Coordinate and schedule meetings, appointments, and travel arrangements as needed.
  • Assist in the preparation of reports, presentations, and correspondence for management.
  • Facilitate communication by managing emails, phone calls, and other forms of correspondence.
  • Order, maintain, and track office supplies to ensure availability and cost-efficiency.
  • Assist in onboarding new employees by preparing necessary documentation and logistical support.
  • Support finance department by tracking invoices, expenses, and preparing reports as needed.
  • Participate in special projects and initiatives to improve administrative processes and efficiency.
  • Ensure the maintenance and cleanliness of office facilities and address any issues promptly.
  • Assist with coordinating events, including meetings, workshops, and company functions.
  • Collaborate with IT to resolve minor technical issues and support device management.
  • Maintain office confidentiality and protect sensitive information at all times.

Requirements

  • High school diploma or equivalent is required; additional qualifications are a plus.
  • Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills are essential for the role.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Ability to work independently as well as collaboratively within a team environment.
  • Previous experience in an administrative or clerical role is preferred but not mandatory.
  • Basic understanding of office equipment and operations is beneficial for this position.
