Job Description

A Document Controller plays a critical role in maintaining and organizing a company's documentation processes. This position involves managing, storing, and tracking various types of documents, ensuring that they are easily accessible and accurately filed both digitally and physically. The Document Controller is responsible for implementing processes to monitor documentation, ensuring compliance with industry regulations and company policies. In a fast-paced business environment, your skills will ensure that all pertinent information is within reach for both operational efficiency and legal compliance. The ideal candidate should be detail-oriented, organized, and have a strong understanding of document management systems. A document controller serves as the backbone of project management and administration, ensuring that all teams have the information they need when they need it.


Responsibilities

  • Maintain and control both electronic and hard copy documents with high efficiency.
  • Develop and implement processes for efficient document management and retrieval.
  • Ensure proper authorization and approval for document distribution and revisions.
  • Monitor document compliance with company policies and industry regulations.
  • Track and manage project documentation for various departments across the organization.
  • Coordinate with team members to ensure timely access to necessary documents.
  • Prepare and manage document life cycles, including archival and disposal.
  • Train and support staff on document management procedures and software use.
  • Conduct regular audits to confirm documentation accuracy and completeness.
  • Assist in the preparation of reports by gathering and organizing relevant documents.
  • Address and resolve any discrepancies related to document management systems.
  • Maintain confidentiality and security of sensitive operational and project documents.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • Proven experience in document control or management, preferably in a similar industry.
  • Excellent knowledge of document management software and practices.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to work independently and manage multiple projects simultaneously.
  • Exceptional verbal and written communication skills for effective collaboration.
  • Proficient in Microsoft Office Suite and other documentation tools and systems.
