Job Description

The Administrative Assistant plays a crucial role in ensuring the efficient operation of the office by providing timely and reliable administrative support to management and other staff members. This role involves a mix of both clerical duties and strategic tasks that assist in the smooth running of the business area. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. With strong communication skills and a proactive attitude, the Administrative Assistant acts as the glue that holds various departments together, offering support that allows other team members to focus on their core responsibilities. Responsibilities

  • Manage incoming and outgoing communications, including emails, calls, and mail.
  • Organize and schedule meetings and appointments, prioritizing as necessary.
  • Maintain an efficient filing system for both electronic and paper documents.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Act as the point of contact for internal and external clients and stakeholders.
  • Handle requests and queries from senior managers and colleagues promptly.
  • Order office supplies and manage inventory to ensure office functionality.
  • Collaborate with team members to support various administrative projects.
  • Provide general support to visitors, ensuring a positive experience.
  • Develop and maintain a professional relationship with suppliers and vendors.
  • Ensure the office environment remains tidy, organized, and welcoming.

Requirements

  • Proven experience as an administrative assistant or similar role within a corporate setting.
  • Strong organizational skills, with a focus on managing multiple priorities effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Excellent written and verbal communication skills, with attention to clarity and detail.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • High level of professionalism and a demonstrated commitment to customer service excellence.
  • Familiarity with office management procedures and basic accounting principles is an advantage.
