Job Description

A Hospital Receptionist plays a pivotal role in ensuring the smooth operation of the healthcare facility's front desk. This position involves being the first point of contact for patients, visitors, and healthcare professionals, making excellent communication and interpersonal skills essential. The receptionist is responsible for managing patient intake, handling appointment scheduling, and maintaining medical records. In addition to these duties, the Hospital Receptionist must ensure that all patient interactions comply with the hospital's policies and procedures. This role requires a highly organized individual who can multitask, handle stress, and prioritize tasks effectively to provide exceptional support to both patients and the healthcare team.


Responsibilities

  • Greet and assist patients and visitors with professionalism and courtesy at all times.
  • Manage and schedule patient appointments accurately to optimize the use of resources.
  • Handle incoming and outgoing phone calls, delivering clear and concise information.
  • Maintain patient records securely and ensure that privacy protocols are followed.
  • Coordinate with medical staff to manage patient flow and ensure timely service delivery.
  • Respond promptly to patient inquiries and address any issues or concerns efficiently.
  • Assist in the processing of paperwork required for patient admissions and discharges.
  • Operate office equipment such as telephones, fax machines, copiers, and computers reliably.
  • Compile daily reports and maintain records for the front desk operations accurately.
  • Ensure that the reception area is clean, organized, and welcoming for all visitors.
  • Assist in emergency situations by following the established procedures and protocols.
  • Continuously update scheduling software and appointment logs with accurate information.

Requirements

  • High school diploma or equivalent; additional certification in office administration is preferred.
  • Proven experience in a receptionist or administrative role, preferably in a healthcare setting.
  • Excellent verbal and written communication skills to interact effectively with patients and staff.
  • Proficiency with office software such as MS Office Suite, electronic record systems, and scheduling tools.
  • Strong organizational skills and the ability to manage multiple tasks in a busy environment.
  • Commitment to maintaining patient confidentiality and adhering to hospital policies and regulations.
  • Ability to work flexible hours, including evenings or weekends, as required by the facility.
