Job Description

The role of a Front Desk cum Admin Executive is pivotal in maintaining the seamless operation of an organization’s front office activities and administrative tasks. This multitasking position entails greeting and assisting visitors, managing telephone calls, and facilitating a smooth flow of communication between departments. It requires a professional ready to handle frontline activities with efficiency and act as the first point of contact, ensuring a friendly, clean, and organized reception area. Besides front office tasks, this position includes administrative duties like scheduling, record keeping, and data management, which support the overall functioning of the business. The ideal candidate should have excellent communication skills, be detail-oriented, possess an aptitude for multitasking, and demonstrate a friendly demeanor while being able to deal with people from various backgrounds.


Responsibilities

  • Greet visitors with a friendly and welcoming manner to the organization.
  • Manage and direct incoming calls and queries efficiently and professionally.
  • Facilitate smooth communication and cooperation between different departments.
  • Maintain and organize a clean and presentable reception area at all times.
  • Coordinate appointments and schedule meetings with precise attention to detail.
  • Perform administrative support tasks such as filing, photocopying, and email correspondence.
  • Oversee and manage the distribution of incoming mail and correspondence.
  • Assist in the preparation and processing of documentation and corporate materials.
  • Provide customer service by addressing inquiries and resolving complaints effectively.
  • Maintain records and update office databases with accurate information promptly.
  • Support the management team with a variety of administrative duties and projects.
  • Ensure security protocol by managing visitor logs and issuing badges when necessary.

Requirements

  • High school diploma or equivalent; bachelor’s degree is advantageous.
  • Previous experience in a front desk or administrative role is preferred.
  • Excellent verbal and written communication skills are essential for success.
  • Strong organizational and multitasking abilities are required for the position.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Professional appearance and attitude with a customer-focused mindset.
  • Ability to work both independently and as part of a team environment.
