Job Description

The Facilities Manager plays a significant role in ensuring that the operations and maintenance of buildings run smoothly and efficiently. They are responsible for managing building and grounds maintenance, including the supervision of contractors and compliance with legal and safety standards. This position involves planning and coordinating all installations and refurbishments, budgeting, procurement, and ensuring the overall infrastructure supports the needs of the organization. The Facilities Manager is a critical player in maintaining a conducive working environment and ensuring both the physical space and services meet the requirements of all occupants. They will also handle emergency issues that arise on the job site promptly and effectively.


Responsibilities

  • Manage and coordinate the building and equipment maintenance schedules diligently.
  • Supervise facilities staff and external contractors to ensure high standards.
  • Develop governance frameworks to ensure compliance with health and safety laws.
  • Plan and oversee building security, including safeguarding records and resources.
  • Conduct regular inspections of the building facilities to assess health, safety, and maintenance needs.
  • Prepare and manage the facilities budget, tracking expenses and aiming for cost efficiency.
  • Coordinate renovations, refurbishments, and construction projects efficiently.
  • Manage and verify the procurement process of services and materials for facilities operations.
  • Ensure all utility systems are inspected and operate according to all health and safety standards.
  • Participate in the development of policies and procedures aimed at improving operational efficiencies.
  • Respond promptly to urgent maintenance calls and emergencies at the facility.
  • Implement processes to track preventive and corrective maintenance activities.

Requirements

  • Bachelor's degree in facilities management, engineering, business administration, or related field.
  • Minimum of 5 years of proven experience in facilities management or related role.
  • Sound knowledge of health and safety regulations to ensure facility compliance.
  • Strong decision-making skills with an emphasis on analytical problem-solving.
  • Excellent organizational and leadership abilities to coordinate facility operations.
  • Experience with managing budgets and maintaining financial records accurately.
  • Proficient with facilities management software applications and relevant IT tools.
