Job Description

The Assistant – Business Support plays a crucial role in ensuring the smooth operation of a company's business activities. This position entails handling day-to-day administrative tasks, supporting senior management, and facilitating cross-departmental communication. You will be responsible for managing schedules, preparing documentation, and coordinating with various teams to ensure all business processes are running efficiently. As the backbone of the administrative team, you must possess excellent organizational skills and the ability to multitask in a fast-paced environment. Your attention to detail and problem-solving skills will greatly enhance the company's productivity and efficiency.


Responsibilities

  • Manage executive schedules, appointments, and calendars effectively to optimize time management.
  • Prepare and edit communications, reports, and presentations with a keen eye for detail.
  • Coordinate travel arrangements including flight bookings, accommodations, and itineraries efficiently.
  • Handle incoming communications, prioritize emails, and facilitate appropriate responses promptly.
  • Ensure the efficient organization and maintenance of digital and physical filing systems.
  • Assist in planning and executing company meetings, events, and conferences.
  • Liaise with internal teams and external vendors to facilitate business operations smoothly.
  • Conduct research and compile data to support business projects and decisions.
  • Monitor inventory levels of office supplies and place orders to ensure stock availability.
  • Handle confidential information discreetly, ensuring security and integrity at all times.
  • Provide administrative support in drafting and proofreading company documents effectively.
  • Support senior management by undertaking special projects and other duties as assigned.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an administrative assistant or similar role required.
  • Exceptional organizational skills and ability to multitask in a fast-paced setting.
  • Strong verbal and written communication skills with a high attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant administrative software.
  • Ability to handle sensitive information with the highest level of discretion.
  • Excellent interpersonal skills and ability to work collaboratively in a team environment.
