Job Description

We are seeking a dedicated and highly organized Personal Assistant to support our busy executive team. The ideal candidate will be responsible for managing a variety of tasks to help streamline operations and ensure that our executives are free to focus on high-priority issues. This position requires a proactive individual who possesses excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. As a Personal Assistant, you will act as the primary point of contact between the executives and internal/external stakeholders, thus maintaining professionalism and confidentiality at all times. Your role will be crucial in enhancing the efficiency and productivity of our executive team by providing comprehensive administrative support and managing both professional and personal responsibilities.


Responsibilities

  • Manage and organize the executive's calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external communications on behalf of the executives.
  • Coordinate and prepare materials for meetings, including agendas, minutes, and presentations.
  • Handle requests and queries promptly and professionally, ensuring nothing slips through the cracks.
  • Assist in the preparation and facilitation of events, workshops, and conferences.
  • Conduct research and compile data to assist in decision-making processes and executive reports.
  • Manage correspondence and emails, drafting responses and redirecting when appropriate.
  • Maintain confidentiality and exercise discretion when handling sensitive information and documents.
  • Liaise with clients, vendors, and staff to ensure smooth operations within the organization.
  • Oversee expense reports, budget tracking, and financial reconciliations for the executive team.
  • Provide personal assistance with daily tasks, errands, and special projects as required.
  • Implement and maintain efficient filing and organizational systems for paper and electronic documents.

Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role.
  • Exceptional organizational and time-management skills to handle multiple tasks effectively.
  • Strong verbal and written communication skills for diverse and comprehensive interactions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office technology tools.
  • Ability to work independently, manage priorities, and stay calm under tight deadlines.
  • Strong interpersonal skills with the capability to build positive relationships professionally.
  • High level of integrity and discretion in handling confidential information and business affairs.
