Job Description

We are seeking a personable and organized Front Desk Receptionist to join our dynamic team. As the first point of contact for visitors and clients, you will play a crucial role in maintaining our company's professional image. You will be responsible for managing day-to-day front desk operations, answering phone calls, greeting visitors, and providing general administrative support. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. If you enjoy interacting with people and have a knack for organization, we would like to hear from you.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Answer, screen, and forward incoming phone calls professionally.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Keep the front desk area tidy and presentable with all necessary materials in place.
  • Coordinate appointments and manage the schedules of meeting rooms.
  • Provide basic and accurate information in-person and via phone/email.
  • Assist in administrative tasks such as data entry and document filing.
  • Ensure reception and waiting areas have up-to-date informational materials.
  • Assist visitors by directing them to their respective appointments and meetings.
  • Maintain office security by issuing visitor badges and monitoring logbooks.
  • Support and facilitate office events and meetings under manager’s guidance.

Requirements

  • Proven work experience as a Front Desk Receptionist or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills essential for this role.
  • Customer-service orientation with a friendly and welcoming attitude.
  • Ability to handle a multi-line phone system efficiently and courteously.
  • Attention to detail and problem-solving skills to manage day-to-day tasks.
  • High school diploma; additional qualification in Office Administration is a plus.
