Job Description

The Executive Assistant to the CEO plays a pivotal and dynamic role within our organization, providing high-level support to the Chief Executive Officer. This position requires a proactive and detail-oriented individual who thrives in a fast-paced environment. As the right hand to the CEO, the Executive Assistant is responsible for managing the executive's schedule, organizing meetings, and handling communications efficiently. The ideal candidate will have excellent organizational, communication, and interpersonal skills, alongside the ability to work independently and manage multiple tasks concurrently. The role also involves coordinating various strategic projects and acting as a liaison between the CEO and other stakeholders, ensuring seamless execution of the executive's directives and maintaining confidentiality at all times.


Responsibilities

  • Manage the CEO's calendar, ensuring effective prioritization of appointments and meetings.
  • Coordinate travel arrangements for the CEO, including flights, hotels, and transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents for the CEO.
  • Serve as a liaison between the CEO and other executives, departments, and external contacts.
  • Handle sensitive information with confidentiality and maintain data integrity at all times.
  • Organize and prepare for meetings, including gathering documents and attending to logistics.
  • Screen and direct phone calls, emails, and inquiries to the appropriate parties.
  • Manage special projects as assigned, ensuring alignment with organizational goals.
  • Assist in preparing reports, briefings, and presentations for the CEO's use.
  • Maintain comprehensive and accurate records of all communications and interactions.
  • Support the CEO in cultivating and maintaining business relationships with key stakeholders.
  • Monitor and handle incoming correspondence, ensuring prompt and effective resolutions.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or similar role.
  • Exceptional written and verbal communication skills are a must.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion at all times.
  • Proven ability to work independently and make sound decisions in dynamic environments.
