Job Description

The role of an Admin and Front Office Executive is a crucial one, serving as the first point of contact for clients and visitors while ensuring the smooth operation of daily administrative tasks. This position requires a dynamic individual who can manage front office activities and administrative duties with professionalism and efficiency. You will be responsible for greeting visitors, handling inquiries, and directing them to the appropriate departments. In addition, you will oversee administrative responsibilities that require strong organizational skills, such as scheduling appointments, managing correspondence, and maintaining office supplies. The ideal candidate will possess excellent communication skills, a customer-service orientation, and the ability to multitask in a fast-paced environment.


Responsibilities

  • Greet and welcome visitors with a professional and friendly demeanor.
  • Manage incoming calls and direct them to the right departments or personnel.
  • Keep a record of all visitors entering and leaving the office premises.
  • Ensure reception area is kept neat and tidy, reflecting a professional environment.
  • Coordinate and schedule appointments and meetings for management personnel.
  • Assist in the preparation and distribution of office correspondence and reports.
  • Maintain inventory of office supplies and order new stock as required.
  • Support various departments with administrative tasks as needed for smooth operations.
  • Handle office correspondence including emails, letters, and package distribution.
  • Assist with event planning and execution of corporate functions and meetings.
  • Manage office databases and ensure accuracy and confidentiality of information.
  • Perform general clerical duties like photocopying, mailing, and data entry tasks.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as a Front Office Executive or similar administrative role.
  • Exceptional verbal and written communication skills are essential.
  • Proficiency in office management software such as MS Office Suite required.
  • Strong organizational skills to manage various tasks and priorities efficiently.
  • Ability to multitask and work well under pressure in a fast-paced environment.
  • Excellent customer service skills and a friendly, professional demeanor are needed.
