Responsibilities

  • Manage complex calendars and scheduling for senior executives with high efficiency.
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Prepare and edit correspondence, reports, and presentations with high attention to detail.
  • Organize and manage logistics for meetings, conferences, and travel arrangements.
  • Conduct research and prepare briefing materials for executive meetings and engagements.
  • Handle confidential information and files with a high degree of professionalism and confidentiality.
  • Support special projects, including planning, development, and execution under executive supervision.
  • Liaise with internal departments and external clients to ensure coordinated management of executive events.
  • Monitor and manage project timelines to ensure timely completion of executive priorities.
  • Prepare and process expense reports, invoices, and purchase orders accurately and efficiently.
  • Foster and maintain positive relationships with internal staff and external stakeholders.
  • Provide training and support to junior administrative staff when necessary.

Requirements

  • Bachelor's degree in Business Administration, or a closely related field preferred.
  • Minimum of 5 years' experience as an Executive Assistant to C-level executives.
  • Strong proficiency in Microsoft Office Suite and other relevant software applications.
  • Exceptional communication skills, both written and verbal, with high attention to detail.
  • Proven ability to handle confidential information with integrity and discretion.
  • Demonstrated expertise in managing complex schedules and international travel arrangements.
  • Strong organizational and multitasking skills in a fast-paced business environment.
