Job Description

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. Multitasking and stress management skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and execute all administrative tasks to the highest quality standards.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person or via phone/email.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep an inventory of stock.
  • Update calendars and schedule meetings as needed for management.
  • Arrange travel and accommodations as required for staff and visitors.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist in the coordination of office events and meetings preparation.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Professional attitude and appearance suitable for the front desk role.
  • Solid written and verbal communication skills for effective interaction.
  • Ability to be resourceful and proactive when issues arise in the office.
  • Excellent organizational skills and multitasking abilities in busy environments.
