The Front Office Associate is a pivotal role in ensuring seamless customer interactions and maintaining the first impression of our organization. As the first point of contact for our clients and visitors, you will be responsible for greeting guests with warmth and professionalism. Responsibilities

  • Greet and welcome visitors with a friendly and warm demeanor.
  • Manage all incoming and outgoing calls efficiently and professionally.
  • Ensure the front office is tidy and presents a professional appearance.
  • Handle guest inquiries by providing accurate information and assistance.
  • Coordinate schedules and appointments for staff and management promptly.
  • Maintain records and files, ensuring data is accurately entered and updated.
  • Assist with administrative tasks including data entry, photocopying, and filing.
  • Ensure the reception area has all necessary stationery and material.
  • Support the resolution of customer complaints and escalate when necessary.
  • Liaise with various departments to facilitate communication and coordination.
  • Process and distribute incoming mail and prepare outgoing mail appropriately.
  • Provide support to other front office staff as required or directed.

Requirements

  • High school diploma or equivalent is required for this position.
  • Previous experience as a receptionist or in a customer service role preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in MS Office and comfortable with varying office technologies.
  • Strong organizational skills with the ability to multitask effectively.
  • Professional appearance and attitude, with a customer service focus.
  • Ability to handle pressured situations with calmness and efficiency.
