Job Description

The Front Desk Receptionist is the face and voice of our organization, ensuring a welcoming experience for all visitors and callers. The ideal candidate is a highly organized and presentable individual who can multitask effectively. As the first point of contact, the receptionist will handle customer inquiries, manage appointment scheduling, and provide general administrative support to other staff. This role requires a calm and professional demeanor, excellent communication skills, and the ability to swiftly resolve minor issues or direct them to the right department. Enthusiasm, reliability, and attention to detail are essential qualities for this position, as many of your tasks will promote seamless daily operations and contribute significantly to the team’s success.


Responsibilities

  • Greet visitors warmly and make sure they are comfortable and directed appropriately.
  • Answer, screen, and forward incoming phone calls with a professional attitude.
  • Maintain front desk security and ensure area tidiness and organized appearance.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Manage appointment bookings and call back client requests as needed.
  • Update IT databases containing vital client information and visitor logs.
  • Coordinate with facility management for basic maintenance and repair queries.
  • Assist in the preparation of meeting rooms including scheduling and equipment arrangements.
  • Help with administrative tasks, including filing, photocopying, and scanning as required.
  • Provide clients with accurate information and policies about services provided.
  • Communicate with management and staff to relay visitor or logistical issues promptly.
  • Support the HR department in scheduling interviews and organizing related materials.

Requirements

  • Proven experience as a receptionist or in a customer service role.
  • Proficient in Microsoft Office Suite and basic computer operations.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills are a must.
  • Customer service orientation with a high level of professionalism.
  • Experience with office equipment, such as printers and fax machines, preferred.
  • High school diploma; additional certification in office management is a plus.
