Job Description

As a Front Desk Executive, you will be the face of our company, creating a warm and welcoming environment for all visitors and employees. Your pivotal role involves managing the front office operations, handling telecommunication systems, and addressing inquiries efficiently. Alongside providing excellent customer service, you will also be responsible for supporting administrative processes and ensuring the cleanliness and professional appearance of the reception area. By acting as a liaison between departments and external parties, you will play a crucial role in maintaining the company's professional image and facilitating smooth internal and external communications.


Responsibilities

  • Greet and welcome guests, ensuring a positive and professional first impression.
  • Manage incoming and outgoing correspondence, including phone calls and emails.
  • Maintain a tidy and organized reception area, reflecting company standards.
  • Assist visitors to the appropriate person or department in a courteous manner.
  • Handle appointment scheduling and coordination, maintaining the company's calendar.
  • Receive and distribute mail and packages in a timely and systematic way.
  • Maintain security by following procedures and monitoring the visitor logbook.
  • Assist with administrative tasks such as filing, copying, and organization.
  • Coordinate with internal teams to facilitate smooth communication and planning.
  • Update internal phone directories and contact lists regularly for accuracy.
  • Troubleshoot minor issues with office equipment and call for repairs when needed.
  • Provide general support to visitors, enhancing their overall experience with the company.

Requirements

  • Proven experience as a front desk representative or similar role preferred.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills with attention to detail.
  • Excellent organizational and multitasking abilities in a dynamic environment.
  • Friendly and professional demeanor with excellent customer service skills.
  • High school degree required; additional qualifications in office management a plus.
  • Ability to manage sensitive information confidentially and professionally.
