Job Description

The Export Documentation Executive plays a crucial role in the logistics and supply chain management domain by ensuring that all the necessary documentation for exporting goods is accurately prepared and processed. This position requires a keen eye for detail, excellent organizational skills, and an understanding of international trade regulations. As an Export Documentation Executive, you will coordinate with internal departments, freight forwarders, and customs agents to ensure smooth transportation and compliance with both local and international norms. The position demands knowledge of various export documentation such as bills of lading, letters of credit, and invoices, as well as the ability to manage and resolve any issues that may arise during the export process. The ideal candidate will have strong communication skills, the ability to multitask, and the capacity to work under pressure to meet strict deadlines.


Responsibilities

  • Prepare and process export documentation according to company policy and government regulations.
  • Coordinate with internal departments to gather necessary information for export documentation.
  • Liaise with freight forwarders and customs brokers to ensure compliance with shipping requirements.
  • Ensure accuracy and correctness of shipping documentation to avoid delays and penalties.
  • Track shipments and communicate with clients and partners regarding shipment status.
  • Monitor export activities and maintain a record of transactions and special handling requirements.
  • Resolve documentation discrepancies by making necessary adjustments and clarifications.
  • Assist in filing and obtaining necessary export licenses and permits in a timely manner.
  • Prepare letters of credit and complete relevant banking documentation accordingly.
  • Implement and improve process efficiencies in export documentation and shipment handling.
  • Provide exceptional customer service to clients regarding export related queries and issues.
  • Conduct periodic audits of export documentation and processes for quality assurance.

Requirements

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • A minimum of 2-3 years of experience in export documentation or a similar role.
  • Strong understanding of international trade regulations and export compliance standards.
  • Proficiency in MS Office Suite and familiarity with export documentation software.
  • Excellent organizational and multitasking skills to manage multiple shipments simultaneously.
  • Strong attention to detail with the ability to spot discrepancies in documentation.
  • Effective communication and interpersonal skills to liaise with various stakeholders.
  • Ability to work under pressure and meet tight deadlines in a dynamic environment.
  • Knowledge of Incoterms and shipping terms and conditions is highly advantageous.
