Job Description

An Accounts Payable Associate plays a crucial role in the financial operations of a company. This position is responsible for ensuring that all invoices are processed, verified, and paid in a timely and accurate manner. As an Accounts Payable Associate, you will be handling various accounting tasks that require great attention to detail and precision. You will interact with vendors and internal departments to resolve any discrepancies, ensuring smooth financial operations. The role demands strong organizational skills, proficiency in relevant accounting software, and an ability to work collaboratively within a team. As an integral part of the finance department, you will contribute to maintaining the financial integrity of the company by following accounting regulations and standards, managing financial documents, and supporting auditing processes as required.


Responsibilities

  • Process a high volume of invoices for payment with accuracy and timeliness.
  • Ensure all transactions comply with financial policies and procedures.
  • Work closely with the finance and accounting departments to resolve invoice discrepancies.
  • Match purchase orders with invoices and resolve inconsistencies or disputes.
  • Maintain vendor relationships and manage timely communications regarding billing issues.
  • Assist with end-of-month closing processes and accurate financial reporting.
  • File, maintain, and distribute accounting documents, records, and reports.
  • Reconcile accounts payable transactions regularly to ensure accuracy of records.
  • Respond to vendor inquiries promptly and professionally to maintain good working relationships.
  • Prepare and process electronic transfers and payments as needed.
  • Monitor accounts to ensure payments are up to date, preventing overdue balances.
  • Assist in developing and improving accounts payable processes and procedures.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field preferred.
  • Proven experience in an accounts payable role within a corporate setting.
  • Strong understanding of basic accounting principles and best practices.
  • Proficiency in using accounting software and Microsoft Office applications.
  • Exceptional attention to detail and strong analytical skills.
  • Excellent organizational and time management skills required to manage multiple tasks.
  • Strong communication skills to effectively collaborate with vendors and team members.
