Job Description

As a Medical Receptionist, you will play a crucial role in the healthcare setting by serving as the initial point of contact for patients both in person and on the phone. Your role is vital in ensuring a smooth flow of patients through the clinic or office while maintaining a welcoming and professional environment. In addition to managing the reception area, your duties will include scheduling appointments, handling patient inquiries, and coordinating with medical and non-medical staff. You will be expected to manage records efficiently, ensuring accuracy and privacy as per standard healthcare regulations. Your ability to multitask, coupled with a strong understanding of medical terminology, will contribute significantly to the overall patient experience.


Responsibilities

  • Greet and welcome patients as they enter the medical facility with a friendly demeanor.
  • Answer telephones promptly and manage all incoming and outgoing communications effectively.
  • Schedule, reschedule, and cancel patient appointments while managing the doctor’s schedules.
  • Collect patient information and verify insurance details with accuracy and efficiency.
  • Maintain patient records and ensure all documentation is up-to-date and secure.
  • Coordinate with nurses and doctors to ensure smooth patient workflow and timely consultations.
  • Handle patient queries and concerns with professionalism and provide necessary information or guidance.
  • Process patient payments and ensure accurate accounting for cash and card transactions.
  • Assist in the management of office supplies, ensuring that reception area essentials are stocked.
  • Keep the reception area tidy and presentable, reflecting a positive image of the facility.
  • Ensure compliance with healthcare regulations and maintain patient confidentiality at all times.
  • Manage outgoing and incoming mail, including deliveries and filing important documents correctly.

Requirements

  • High school diploma or equivalent; certification in medical administration is preferred.
  • Proven experience as a Medical Receptionist or in a customer service role within a healthcare setting.
  • Familiarity with medical terminology and healthcare operations is highly advantageous.
  • Proficient in using healthcare software and handling electronic health records systems.
  • Excellent communication skills, with a strong ability to manage patient inquiries and complaints.
  • Strong organizational skills with the capability to multitask in a fast-paced environment.
  • Ability to maintain confidentiality and comply with healthcare regulations and privacy laws.
  • Efficient problem-solving skills and the ability to remain calm under pressure.
