Job Description

As the first point of contact for clients, guests, and employees, the Receptionist is a crucial role in any organization. It is this person’s responsibility to create an excellent first impression by offering a warm welcome and providing support to various departments. A Receptionist is not only responsible for greeting visitors but also handling calls, managing appointment schedules, and ensuring the smooth flow of communication within the office. This role requires a friendly demeanor, excellent communication skills, and the ability to multitask efficiently. In addition, a Receptionist must maintain a professional appearance and conduct, reflecting the company's values and standards.


Responsibilities

  • Welcome visitors and direct them to the appropriate personnel or office.
  • Answer, screen, and forward incoming phone calls in a timely manner.
  • Provide basic and accurate information in-person and via phone/email.
  • Maintain office security by following safety procedures and controlling access.
  • Manage and update calendars for appointments, meetings, and conferences.
  • Receive, sort, and distribute daily mail, deliveries, and couriers.
  • Coordinate with facility management and vendors, including cleaning, catering, etc.
  • Keep updated records of office expenses and costs for the management team.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Oversee the reception area to ensure it is tidy, presentable, and welcoming.
  • Assist in planning and organizing company events and functions.
  • Support office staff with administrative tasks as needed to ensure efficiency.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office equipment, like printers and fax machines.
  • Professional attitude, appearance, and complete reliability in job duties.
  • Solid written and verbal communication skills essential for the role.
  • Excellent organizational skills with the ability to prioritize tasks independently.
  • Customer service attitude with strong problem-solving capabilities.
  • High school degree; additional certification in Office Management is a plus.
