Job Description

As a Receptionist, you will be the forefront of our company's brand and the first point of contact for visitors. Your role is pivotal in setting the tone for each visitor's experience with our organization. We are looking for a person with exceptional communication skills and a warm, welcoming demeanor to make every interaction smooth and professional. Your responsibilities will be diverse and vital in managing the day-to-day operations of our front office, ensuring a seamless flow of communication both in-person and via phone or email. You will coordinate with other departments and handle various administrative tasks with efficiency and discretion. An ideal candidate is organized, personable, and capable of handling a busy work environment while maintaining professionalism and a positive attitude.


Responsibilities

  • Greet visitors warmly and manage the visitor logbook with accuracy.
  • Answer and direct phone calls to appropriate departments or personnel efficiently.
  • Assist in administrative tasks such as filing, photocopying, and managing correspondence.
  • Keep reception area tidy and presentable, with all necessary stationery and materials.
  • Schedule appointments and manage calendars for staff with precision and attention to detail.
  • Provide basic and accurate information in-person and via phone/email to inquiries.
  • Coordinate with office cleaners and maintenance staff for required services.
  • Receive and sort daily mail/deliveries and distribute appropriately to departments.
  • Ensure compliance with all safety, health, and administrative protocols and procedures.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Support the administrative team with various projects and tasks as needed or assigned.
  • Monitor inventory of office supplies and the ordering process when shortages occur.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Microsoft Office Suite and other office software applications.
  • Professional attitude and appearance, with excellent customer service skills.
  • Solid written and verbal communication abilities with strong interpersonal skills.
  • Ability to be resourceful and proactive when issues arise; problem-solving skills.
  • Excellent time management skills, with the ability to prioritize tasks efficiently.
