Job Description

As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of the executive's office. Your responsibilities will include managing schedules, coordinating meetings, and communicating on behalf of the executive. You will serve as a critical link between the executive and both internal teams and external stakeholders. This role requires excellent organizational skills, discretion, and the ability to handle confidential information with integrity. The ideal candidate should be proactive, detail-oriented, and possess the ability to work independently while managing multiple priorities and deadlines in a fast-paced corporate environment.


Responsibilities

  • Manage and maintain the executive’s calendar and schedule meetings accordingly.
  • Coordinate travel arrangements, including booking flights and accommodations.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and prepare reports as requested by the executive.
  • Answer and manage incoming calls, providing required information or redirecting to appropriate personnel.
  • Screen executive’s emails and correspondence, prioritizing urgent matters and addressing issues independently.
  • Facilitate communication between the executive and internal teams or external partners.
  • Organize and coordinate executive-level and board meetings, including preparation of agendas and materials.
  • Perform and manage special projects as directed, ensuring timely completion and high-quality results.
  • Maintain confidentiality of highly sensitive and private information on a continual basis.
  • Oversee the maintenance of the office, coordinating repairs and managing supplies as needed.
  • Track and reconcile expense reports and other financial documentation for accuracy.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 3 years of experience in an executive support role required.
  • Excellent proficiency in using Microsoft Office Suite, including Outlook and Excel.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Exceptional written and verbal communication skills are a must for success.
  • Ability to maintain confidentiality and deal with sensitive matters discreetly.
  • Strong problem-solving acumen and capability to work independently under pressure.
