Position: Warranty Coordinator

We are seeking a diligent, detail-oriented Warranty Coordinator to join our aviation team. This position will manage core and warranty exchanges, coordinate with internal and external partners, ensure compliance with vendor and company warranty policies, and help maintain traceability for all warranty and core-related aviation parts. The Warranty Coordinator will report to the Director of Repair, and work closely with sales, repair, vendor operations, and customer service teams.


Responsibilities

  • Monitor and coordinate exchange units (cores), ensuring timely return from customers, vendors, or other parties.
  • Coordinate with the repair / maintenance team to manage repair of cores and warranty parts, ensuring repair status, timeline, and quality.
  • Oversee all paperwork, traceability, and documentation processes (aviation‐paperwork/trace), ensuring compliance with regulatory and internal standards.
  • Create, track, and follow up on warranty claims/issues: review warranty eligibility, submit claims, monitor vendor responses, and update status for each part in the system.
  • Ensure that warranty policy is properly applied for each part—determine coverage based on vendor warranty terms, purchase agreements, service life policies, etc.
  • Coordinate with repair / overhaul department to obtain repaired (serviceable) parts and ensure that exchanges are closed out properly.
  • Maintain inventory or tracking of exchange / core parts, including condition, location, status (returned, repaired, serviceable, beyond repair).
  • Communicate regularly with sales, vendor, customer, and internal teams to provide status updates on cores, warranty claims, and exchanges.
  • Generate and maintain documentation and records (e.g. invoices, repair quotations, vendor credits, shipping documents, vendor correspondence).
  • Maintain or update internal systems (e.g. Maintenance Information System, ERP, Parts Inventory/Trace systems) to reflect accurate warranty & core statuses.
  • Monitor vendor performance (turnaround times, quality of repair), and escalation when SLAs or warranty commitments are not met.
  • Produce periodic reports / metrics: number of claims, credits due / received, core return rates, repair lead times, cost recovery, etc.
  • Identify trends or recurring warranty / core issues and suggest process improvements to reduce cost or delays.


Requirements:

  • 2–4+ years’ experience in aviation core/warranty coordination, parts operations, repair coordination, or related field.
  • Strong familiarity with aviation regulatory and traceability requirements (paperwork, serial numbers, parts history).
  • Experience with vendor warranty policies, purchase agreements, service bulletins, life time policies etc.
  • Good knowledge of aviation parts repair processes / overhaul / maintenance workflows.
  • Excellent organizational skills, ability to track many moving parts (literally) and maintain accurate records.
  • Strong communication / interpersonal skills; ability to interact with vendors, customers, sales, and internal technical teams.
  • Proficiency with computer systems: inventory or ERP systems, Maintenance Information System or similar, MS Office suite (especially Excel).
  • Attention to detail; ability to spot discrepancies in paperwork, agreements, or repair reports.
  • Ability to follow up persistently to ensure cores / warranty parts are returned/repaired in a timely manner.
  • Ability to prioritize workload, handle multiple tasks, and work under deadlines.
  • (Preferred) Associate’s or Bachelor’s degree in Aviation Maintenance, Aeronautical Engineering, Logistics, Operations, or related field.


Preferred Qualifications:

  • Experience with specific aviation trace / inventory software (e.g., TRAX, AvSight, CAMP, IFS, etc.).
  • Prior exposure to core exchange programs, vendor / customer shipping and customs documentation.
  • Familiarity with international vendor practices, import/export / customs for parts (if relevant).
  • Experience generating and using warranty performance metrics / dashboards.
