Job Description

The Tenant Coordination Manager is responsible for overseeing the successful integration of tenants into commercial, retail, or mixed-use properties. This role involves coordinating with developers, landlords, project teams, and tenants to ensure smooth fit-out processes, adherence to lease agreements, and compliance with design and safety standards. The ideal candidate will have strong project management and communication skills, with a background in real estate, architecture, or construction, and a deep understanding of property management processes.


Responsibilities:

  • Manage end-to-end tenant coordination for new leases and renewals across assigned properties.

  • Act as the main point of contact between tenants, landlords, consultants, and contractors during the fit-out process.

  • Review tenant design submissions and ensure alignment with building standards and lease terms.

  • Monitor project timelines and ensure tenants meet key handover and fit-out milestones.

  • Conduct regular site visits to oversee construction progress and resolve on-site issues promptly.

  • Coordinate with internal departments (leasing, legal, facilities) to facilitate smooth onboarding.

  • Ensure compliance with local building codes, health and safety regulations, and mall/property guidelines.

  • Provide guidance to tenants on building procedures, MEP provisions, and fit-out requirements.

  • Identify and mitigate risks or delays related to tenant works.

  • Prepare and maintain accurate documentation and progress reports for all tenant projects.


Requirements:

  • Bachelor’s degree in Architecture, Civil Engineering, Construction Management, or a related field.

  • 5+ years of experience in tenant coordination, project management, or retail construction within the real estate industry.

  • Strong knowledge of fit-out processes, design approval workflows, and lease documentation.

  • Excellent project management and organizational skills.

  • Familiarity with MEP systems and building infrastructure.

  • Proficient in MS Office and project management tools (e.g., MS Project, AutoCAD).

  • Effective communication and interpersonal skills to manage multiple stakeholders.

  • Ability to handle pressure and deliver multiple projects within tight deadlines.

  • Strong problem-solving skills with attention to detail.
