Job Description

The Service Admin Coordinator is an integral part of our service department, responsible for ensuring streamlined operations and enhanced customer satisfaction. This role requires a dynamic individual who can juggle multiple tasks, coordinate with different departments, and maintain a high level of organization and efficiency. As a liaison between the service team and clients, the coordinator plays a crucial role in managing schedules, processing service requests, and ensuring that client needs are met promptly and accurately. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work under pressure in a fast-paced environment. This position not only requires technical competence but also a dedication to improving processes and service delivery.


Responsibilities

  • Coordinate and schedule service appointments with clients and technicians promptly.
  • Maintain and update customer files and service records efficiently and accurately.
  • Process incoming service requests and assign them to the appropriate team members.
  • Assist in preparing and processing billing documents for completed services.
  • Ensure effective communication between clients and service department teams.
  • Monitor service delivery to ensure all service standards are met consistently.
  • Prepare and distribute regular reports on service department performance metrics.
  • Resolve customer queries and complaints swiftly, ensuring complete satisfaction.
  • Support technicians by providing necessary documentation and logistical coordination.
  • Develop and maintain a strong knowledge of company products and services.
  • Implement and monitor office procedures to optimize service department efficiency.
  • Assist with inventory management to ensure availability of necessary parts and supplies.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • At least two years of experience in a similar administrative role.
  • Proficient in Microsoft Office Suite, especially Excel and Word applications.
  • Strong organizational skills and attention to detail in a fast-paced environment.
  • Excellent verbal and written communication skills with a customer-focused attitude.
  • Proven ability to manage multiple tasks and priorities effectively under pressure.
  • Familiarity with service management software and customer relationship systems.
