Job Description

We are seeking a proactive and organized Receptionist to join our vibrant team. As the first point of contact for our company, you will play a crucial role in embodying the culture and values of the organization. This role demands excellent communication skills and the ability to interact successfully with visitors, clients, and staff. You will manage a variety of frontline administrative tasks, ensuring that operations run smoothly and efficiently. A vital link in our company’s chain, you will handle visitor coordination, direct incoming calls, and assist with various clerical duties. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office seamlessly.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone or email.
  • Receive, sort, and distribute daily mail deliveries promptly.
  • Update appointment calendars and schedule meetings accordingly.
  • Perform other clerical receptionist duties such as filing and photocopying.
  • Coordinate front-desk activities, including distributing correspondence.
  • Handle inquiries from clients and the public in a professional manner.
  • Operate a range of office machines, such as a photocopier and printer.
  • Assist with HR and administrative tasks as requested by the management.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Professional attitude and appearance suitable for a corporate environment.
  • Solid written and verbal communication skills essential for effective interaction.
  • Ability to be resourceful and proactive when issues arise at the workplace.
  • Excellent organizational skills and the ability to multitask under pressure.
  • Customer service attitude with the capability to manage stressful situations.
