Job Description

We are seeking a dedicated and personable Receptionist to join our dynamic team and serve as the face of our organization. The ideal candidate will be the first point of contact for visitors and clients, ensuring a welcoming and professional experience. As a Receptionist, you will manage the flow of people through the business, taking responsibility for maintaining a professional and clean reception area. Your good communication skills, coupled with your ability to multitask, will play a vital role in creating a positive first impression. This position requires a customer-focused attitude, exceptional organizational skills, and the ability to handle various administrative tasks efficiently.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as required.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries according to protocols.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock levels.
  • Update calendars and schedule meetings for staff when necessary.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Support the administrative team with additional tasks as needed.
  • Facilitate and assist with the organization of company meetings and events.

Requirements

  • Proven work experience as a Receptionist or similar role preferred.
  • Proficiency in Microsoft Office Suite and office technology software.
  • Solid written and verbal communication skills required for the role.
  • Ability to be resourceful and proactive in problem-solving situations.
  • Excellent organizational skills with attention to detail is essential.
  • Customer service attitude and friendly demeanor are crucial for this role.
  • High school degree; additional certification in Office Management is a plus.
