As the first point of contact for clients and visitors, the Receptionist plays a crucial role in creating a welcoming and professional environment. Responsibilities

  • Greet and welcome visitors with a friendly and professional attitude.
  • Answer phone calls and direct inquiries to the appropriate department.
  • Maintain the reception area to ensure a clean and organized look.
  • Provide information to clients and visitors regarding office services.
  • Schedule appointments and manage conference room bookings efficiently.
  • Receive, sort, and distribute mail and packages promptly and accurately.
  • Assist in preparing documents, correspondence, and reports as required.
  • Coordinate with internal departments and external contacts to support office activities.
  • Manage the inventory of office supplies and place orders when necessary.
  • Monitor and respond to emails in a timely manner to provide support.
  • Assist with administrative tasks such as data entry and record-keeping.
  • Handle additional responsibilities and projects as assigned by management.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Previous experience as a receptionist or in customer service preferred.
  • Proficient in Microsoft Office Suite and basic office technology tools.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Professional appearance and a high degree of professionalism required.
  • Ability to handle sensitive information with confidentiality and discretion.
