Job Description

As the receptionist, you will be the first point of contact for our company. Your duties will involve a range of tasks including welcoming visitors, distributing correspondence, and redirecting phone calls. You will also coordinate front-desk activities and engage in administrative support across the organization. Your exemplary customer service skills will contribute to creating a positive experience for all visitors and employees. Enrollment in customer service and telecommunications skills is imperative to this role. A courteous and professional demeanor, coupled with excellent organizational skills, are crucial for the successful management of the office's front desk.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office with efficiency.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries to employees.
  • Maintain office security by following safety procedures and protocols.
  • Order front office supplies and keep inventory of stock regularly.
  • Update appointments and maintain an organized log of activities daily.
  • Perform other clerical receptionist duties such as filing and photocopying.
  • Assist in scheduling meetings and preparing refreshments when necessary.
  • Collaborate with administrative team members to ensure smooth operations.

Requirements

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Hands-on experience with office equipment, such as printers and fax machines.
  • Professional attitude and appearance, with excellent communication skills.
  • Strong organizational skills supported by the ability to multi-task effectively.
  • Customer service attitude, with a focus on creating positive client interactions.
  • High school degree; additional certification in Office Management is a plus.
