Responsibilities

  • Manage incoming and outgoing correspondence to ensure seamless communication flow.
  • Maintain and organize office files, ensuring quick retrieval and systematic order.
  • Order and keep track of office supplies, ensuring stock levels meet operational needs.
  • Assist in scheduling and preparing meeting rooms for various staff meetings.
  • Support the preparation of reports, presentations, and general documents as required.
  • Handle phone calls, directing them appropriately and taking messages when necessary.
  • Provide clerical support to staff, including data entry and document management tasks.
  • Coordinate travel arrangements and itineraries for staff during business trips.
  • Conduct routine inspections of office equipment and address any malfunction promptly.
  • Assist in organizing company events, workshops, and other team activities.
  • Liaise with other departments and external vendors to ensure operational efficiency.
  • Ensure cleanliness and orderliness of the office environment to promote productivity.

Requirements

  • High School Diploma or equivalent; additional qualifications are a plus.
  • Proven experience in an administrative or clerical role is desirable.
  • Proficiency using office software, such as Microsoft Office Suite and email systems.
  • Excellent verbal and written communication skills necessary for effective interaction.
  • Strong organizational skills with an eye for detail and problem-solving abilities.
  • Ability to multitask efficiently, handling various tasks in a fast-paced environment.
  • Demonstrated capacity to work independently and collaboratively with a team.
