Job Overview:

We are seeking a proactive and highly organized Marketing Event Coordinator to support the marketing team in delivering effective campaigns and corporate events. This role focuses on assisting with event planning, managing promotional item inventory, coordinating internal sales requests, supporting CSR initiatives, and assisting with website-related tasks including translation and content updates. The role also involves handling payment submissions, including translation service invoices, and contributing to the monthly marketing budget planning. Ideal candidates will have strong organizational skills, attention to detail, and a collaborative mindset.

Responsibilities:

Corporate Event Support

• Assist the Event Manager with the planning and execution of corporate events, seminars, sponsorship activations, and internal company functions.
• Coordinate logistics such as venue bookings, branding, guest lists, and vendor communications.
• Prepare event kits, organize promotional materials, and provide on-site event support when required.

Promotional Items Inventory Management

• Monitor and manage stock levels of marketing merchandise and giveaways.
• Maintain accurate inventory records and plan restocking based on upcoming campaigns or events.
• Coordinate the distribution of items across departments and ensure brand consistency.

Sales Request Fulfillment

• Respond to internal sales team requests for marketing materials and merchandise.
• Coordinate production, packaging, and delivery of materials with internal and external stakeholders.

Corporate Social Responsibility (CSR) Support

• Assist with planning and execution of CSR campaigns and partnerships.
• Coordinate logistics and internal communications for CSR-related activities.

Coordination with Organizers and Vendors

• Serve as the point of contact with corporate event organizers, media partners, and suppliers.
• Ensure accurate and timely submission of all marketing deliverables and company documentation.

Website-Related Coordination

• Assist the Website Coordinator in updating website content, banners, and layout changes.
• Coordinate and oversee translation projects in collaboration with language service providers and internal translators to ensure accuracy, consistency, and timely delivery.
• Track website requests, help maintain consistency across different language versions, and ensure timelines are met.

Trustpilot Page Monitoring & Review Management

• Monitor the Trustpilot page daily and ensure timely replies to all reviews.
• Coordinate with the customer support team to verify the authenticity of reviewers and determine if they are real clients.
• Report or flag fake or inappropriate reviews in line with platform policies.
• Communicate directly with the Trustpilot team to resolve any issues or escalate concerns.
• Maintain a detailed report sheet tracking reviews, responses, and those that have been successfully removed or resolved.

Payment Processing & Finance Coordination

• Prepare and submit payment requests to the finance team for event expenses, vendors, promotional items, and marketing services.
• Process and follow up on translation service payments related to website localization.
• Maintain a record of all payment submissions and provide updates on status when required.

Monthly Budget Planning

• Support the marketing team in drafting the monthly marketing budget for events, campaigns, and operational needs.
• Track actual spending vs. forecast and report variances.
• Provide recommendations for cost efficiencies and ensure responsible budget use.

Qualifications:

• Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.
• 2+ years of experience in a marketing or coordination role.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office Suite, especially Excel; experience with budget tracking and reporting tools.
• Collaborative mindset with the ability to work across departments and with external vendors.
