Job Description

The Front Desk Receptionist serves as the first point of contact for visitors and clients at our establishment. This role is crucial in creating a positive first impression and ensuring seamless communication and coordination within the office. The successful candidate will be responsible for handling front office reception and administrative duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage various tasks with a high level of efficiency and professionalism. Responsibilities

  • Greet all visitors and direct them to the appropriate person or office.
  • Answer, screen, and forward incoming phone calls accurately and efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Manage and distribute incoming and outgoing mail and deliveries promptly.
  • Maintain a tidy and welcoming reception area to enhance guest experience.
  • Assist with administrative support tasks, such as data entry and filing.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Provide basic and accurate information in-person and via phone/email.
  • Keep updated records of office expenses and costs for accounting purposes.
  • Support teams with clerical duties as needed to ensure smooth operations.
  • Monitor and maintain the reception area equipment and supplies inventory.
  • Address complaints and provide appropriate solutions in a timely manner.

Requirements

  • Previous experience as a receptionist or in a related administrative role.
  • Proficiency in Microsoft Office Suite and basic office equipment use.
  • Strong written and verbal communication skills are required.
  • Excellent organizational and multitasking abilities to manage daily tasks.
  • Customer service orientation with a professional appearance and attitude.
  • Ability to be resourceful and proactive in problem-solving situations.
  • High school diploma required; additional certifications are a plus.
