Job Description

The Executive Assistant to the CEO plays a crucial role in ensuring the smooth operation of the executive office by providing high-level administrative support to the Chief Executive Officer. This pivotal role goes beyond mere administrative tasks, offering strategic support that enhances the efficiency and effectiveness of the CEO's office. The Executive Assistant acts as a gatekeeper, nexus, and confidant to the CEO, handling communications, managing schedules, and performing a wide range of tasks designed to make the CEO’s role easier and more efficient. In this dynamic position, the Executive Assistant must be resourceful, organized, and proactive, with a keen ability to anticipate the needs of the CEO and a deep understanding of the organization’s priorities and goals. The successful candidate will possess a strong capacity for managing confidential information with discretion and diplomacy.


Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel itineraries.
  • Serve as the primary point of contact between the CEO and internal/external parties.
  • Prepare, review, and edit reports, correspondence, and presentations for the CEO's review.
  • Coordinate and organize executive board meetings and company events as needed.
  • Assist the CEO by conducting research and collecting data for key decision-making processes.
  • Oversee the timely and accurate handling of all incoming and outgoing correspondence.
  • Develop and maintain an effective filing and documentation system for the executive office.
  • Arrange and coordinate detailed travel plans and itineraries for the CEO's international and domestic trips.
  • Liaise with high-profile clients and stakeholders on behalf of the CEO, maintaining professionalism at all times.
  • Manage special projects on behalf of the CEO, ensuring milestones and deadlines are met.
  • Exercise sound judgment in screening calls, emails, and visitors to manage time effectively.
  • Maintain confidentiality and handle sensitive information in line with company policies and practices.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an Executive Assistant or a similar administrative role for minimum 5 years.
  • Exceptional organizational skills and the ability to prioritize multiple assignments.
  • Excellent verbal and written communication skills with high attention to detail.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Ability to work independently with minimal supervision while displaying strong team collaboration skills.
  • High degree of professionalism and ability to maintain discretion and confidentiality.
  • Flexible and adaptable to dynamic and fast-paced work environments, with expert problem-solving abilities.
