As an Events Coordinator at Grant Thornton UAE, you’ll support the planning and execution of high-quality client-facing events and select internal initiatives that enhance the firm’s brand, client relationships, and employee engagement. Reporting to the event lead, you’ll manage logistics, vendor coordination, and on-site delivery – from concept to post event reporting – ensuring every event reflects the firm’s professionalism, creativity, and brand values. The role requires strong organizational skills, attention to detail, and effective collaboration across teams and with external partners, contributing to the broader marketing and communications strategy.

As an Events Coordinator some of your responsibilities will include:

Event planning & coordination

  • Coordinating logistics including venue bookings, catering, equipment, branding, and event materials
  • Maintaining and updating the event calendar, tracking all planned activities
  • Preparing checklists, schedules, and production briefs to ensure operational excellence before, during, and after events
  • Supporting the development of event briefs, agendas, and run-of-show documents
  • Conducting site visits and pre-event inspections


Vendor & partner management

  • Liaising with suppliers (venues, decorators, photographers, AV providers, etc.) to secure quotes, negotiate costs, and ensure timely delivery
  • Supporting the event lead in developing and maintaining relationships with event partners and service providers
  • Ensuring all vendor engagements comply with firm policies and brand standards
  • Maintaining an organized archive of vendor contacts and performance records


Marketing & communication support

  • Coordinating with the communications, creative, and digital teams to develop invitations, event materials, and social media assets
  • Managing RSVP lists, guest communications, and registration processes
  • Assisting with pre-event promotion and post-event coverage through photos, recaps, and social media updates
  • Collaborating on internal communications to promote employee engagement events
  • Ensuring consistent brand messaging across all event-related materials


On-site event delivery

  • Providing hands-on coordination during events including managing booths at sponsored events, ensuring seamless guest experience and smooth execution
  • Supporting setup, registration, signage, and coordination of speakers, hosts, and catering
  • Acting as a point of contact for guests, partners, and vendors during live events
  • Assisting with venue preparations by ensuring branding materials, supplies, and technical setups are properly arranged and functioning as require


Post-event reporting & administration

  • Gathering and organizing event feedback, photos, and materials for reporting and internal sharing
  • Tracking and reconciling event budgets, invoices, and payments
  • Maintaining a database of venues, suppliers, and event performance metrics
  • Preparing post-event evaluations, summary reports and lessons learned with the events lead and wider team
