The Document Controller is responsible for efficiently managing all administrative and documentation-related activities within GPPMD. This role ensures the smooth handling of project documents, maintaining accurate records for ongoing projects while supporting internal and external stakeholders.

Key Accountabilities

  • Administrate and operate a state-of-the-art Document Management System (DMS) to ensure smooth document handling for all GPPMD projects, maintaining security, access control, and system performance.
  • Manage the extensive use of SharePoint to organize, track, and distribute project documents across teams, ensuring compliance with internal document management protocols.
  • Oversee document control processes for all project-related documentation, ensuring proper distribution, filing, and retrieval in accordance with GPPMD standards.
  • Receive and review ongoing project technical submittals, including document transmittals, drawings, material approvals, inspection requests, and test reports, ensuring proper integration into the DMS for easy access and retrieval.
  • Conduct regular audits of project documents in the DMS as instructed, ensuring data quality, integrity, and compliance with company standards and legal requirements.
  • Coordinate with contractors and consultants for document submissions, ensuring documentation meets technical specifications and requirements
  • Facilitate the administration of access control to ensure documents are secure and available only to authorized users, while ensuring auditing procedures are followed.
  • Support the Project Managers by managing the flow of project documentation and ensuring smooth communication between stakeholders.
  • Promote positive behaviors aligned with DP World’s principles, ensuring safety and compliance in all activities.
  • Maintain adherence to DP World’s Code of Conduct and other Group policies.
  • Applicable if role has direct or indirect reports - responsible for the management and leadership of an engaged team, promoting collaboration and ensuring that each is developed and evaluated against goals and objectives which are aligned, specific, measurable, attainable yet challenging, realistic and time bound.
  • Act as an ambassador for DP World at all times when working; promoting and demonstrating positive behaviours in harmony with DP World’s Principles, values and culture; ensuring the highest level of safety is applied in all activities; understanding and following DP World’s Code of Conduct and Ethics policies.
  • Perform other related duties as assigned.

Qualifications

QUALIFICATIONS, EXPERIENCE AND SKILLS:

  • Bachelor’s Degree in Business Administration, Information Management, or related field.

Experience

  • 5-10 years of experience in document management or administrative roles in capital construction projects.

Skills

  • Proficiency in MS Office, Adobe Acrobat, and SharePoint.
  • Experience in operating Document Management Systems (DMS).
  • Strong organizational and multitasking skills.
