Job Description

As a Document Controller, you will play a pivotal role in maintaining effective management and organization of documents in a company. Your main responsibility will be overseeing document management, ensuring that all documents are stored, managed, and distributed in compliance with established procedures and guidelines. You will work closely with other staff members to ensure the seamless processing and accessibility of documents, adhering to the company's standards and industry regulations. Your attention to detail, organizational skills, and ability to work under tight deadlines will be critical in maintaining document integrity and security, ensuring that all documentation is accurate and systematically maintained across all projects.


Responsibilities

  • Oversee the organization and categorization of company documents systematically.
  • Ensure all digital and hard copy documents are secured and not misplaced.
  • Regularly update the management about new document control policies.
  • Collaborate with different departments to review and release documents as needed.
  • Facilitate internal and external audits by providing necessary document access.
  • Assist in implementing and maintaining electronic document management systems.
  • Conduct regular checks to ensure all document control practices are up to standard.
  • Train staff on procedures regarding document control practices and systems.
  • Respond to queries and issues pertaining to document retrieval and management.
  • Ensure compliance with legal and company regulations for all departmental documents.
  • Document and log any changes made to existing documents for audits.
  • Archive inactive documents and ensure their retrieval process is efficient.

Requirements

  • Bachelor’s degree in Business Administration, Information Management or related field.
  • Minimum of 3 years of experience in document control or related roles.
  • Proficiency in document management software and MS Office Suite applications.
  • Strong understanding of document control processes and systems is essential.
  • Excellent organizational skills and high attention to detail are required.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Effective communication skills with the ability to collaborate with team members.
  • Familiarity with industry-relevant regulations and document security protocols.
