Job Description

As a Document Control Specialist, you will play a critical role in managing and maintaining the integrity of our company’s documentation processes. You will be responsible for organizing, storing, and retrieving documents for a variety of departments, ensuring compliance with regulatory requirements and internal guidelines. This position requires a high level of attention to detail and exceptional organizational skills to manage the document flow and file maintenance of all controlled documents. You will be working closely with various teams to implement document control procedures, train users on systems, and resolve queries related to document control and management. Moreover, the role demands proactive communication skills to ensure that all documentation remains up-to-date, readily accessible, and accurately reflects any changes in company processes.


Responsibilities

  • Develop, implement, and maintain comprehensive document control systems and processes.
  • Ensure all controlled documents are accessible, properly tracked, and secure.
  • Coordinate document distribution to appropriate staff as per project needs.
  • Keep updated logs of all company documents and records, ensuring accuracy.
  • Perform regular audits to ensure procedural compliance across departments.
  • Manage document lifecycle, including creation, revision, and archival processes.
  • Work closely with departments to ensure timely document approvals and revisions.
  • Provide training and support to employees on document management software.
  • Collaborate with IT to troubleshoot and resolve document system issues.
  • Create and maintain comprehensive manuals on document control policies.
  • Enhance and revise document control procedures and policies as needed.
  • Ensure all document modifications are reviewed, approved, and recorded.


Requirements

  • Bachelor's degree in Business, Administration, or a related field preferred.
  • Minimum of 3 years' experience in document control or similar roles.
  • Proficiency in document management software and Microsoft Office Suite.
  • Strong organizational skills and attention to detail are essential.
  • Excellent written and verbal communication skills required.
  • Ability to manage multiple projects and prioritize tasks effectively.
  • Knowledge of regulatory requirements and industry standards is a plus.
